Zoom Best Practices: Ensuring Your Meetings Remain Secure

In today's world, ensuring the security of your virtual meetings is critical. Protecting data and ensuring the safety of you, your online guests, and the Yale School of Medicine (YSM) community is our priority. While Yale IT has implemented automatic security measures for Zoom, we all play a part in following best practices when conducting virtual meetings.

Below are helpful tips to make your Zoom meetings safe and effective:

  1. Keep Zoom Updated: Always ensure your Zoom application is updated to the latest version. If updating is ineffective, reinstall the application.
  2. Keep Meeting Information Private: Refrain from sharing meeting links or invitations on public forums or social media to prevent unwanted guests from joining.
  3. Manage Uninvited Guests Quickly:
    • Suspend Participant Activity: Instantly disable all participants’ video, audio, Zoom apps, and screen-sharing by clicking ‘Host Tools’ and selecting ‘Suspend Participant Activities.’
    • Report Abuse: Immediately report any abusive behavior through Zoom.
    • Remove Disruptions: Expel disruptive participants without delay.
    • Inform Authorities: Report incidents to the Yale Police Department, which can obtain information directly from Zoom at lawenforcement@zoom.us.
  4. Proactive Security Tips:
    • Use Passcodes: Set a passcode for your meetings.
    • Enable Waiting Rooms: Use waiting rooms to control who joins your meeting.
    • Restrict Access: Allow only logged-in or Yale-affiliated participants.
    • Disable participant (non-host) screen sharing.
    • Lock Meetings: Once the meeting starts, lock it to prevent new entries.
    • Turn Off Unneeded Features: Disable participant recording, file transfer, and chat if they are unnecessary.

  • Host-Only Screen Sharing: Only hosts can share their screens.
  • Participant Notifications: Hosts receive alerts when participants join or leave.
  • Guest Identification: Guests are clearly marked for easy identification.
